Intelligent Roster — Release Notes

Release Notes

What's new in Intelligent Roster — from V3.4 Clear the Queue (IRIS Auto-Approve add-on) and V3.3 On the Floor (Duty Board, AUDITOR role), through V3.2 Self-Sufficient (IRIS 3.0) and V3.0 Cadence, to the inaugural Green Field release.

V3.4Clear the QueueJuly 2026Platform

V3.4 Clear the Queue introduces IRIS Auto-Approve — an optional add-on that automatically approves strict-clean open shift claims and accepted swaps, with a Living Roster backlog workflow for safe bulk clearing before publish.

IRIS Auto-Approve add-on

  • Paid add-on — platform availability, then org toggles for open shifts and swaps separately
  • Strict-clean gating — rest, hours, craft, scope, overlap, and leave must all pass; no override path
  • Real-time mode — instant approval on claim or swap accept; CONFIRMED or DRAFT per org setting
  • Backlog mode — Living Roster → IRIS Auto-Approve → preview, whitelist run, undo, finalise
  • Windows, exclusions, and full audit trail — Logs & Audit → IRIS Auto-Approvals, badges, Assignment Intelligence column
  • Leave is never auto-approved

📚Learning hub & IRIS help

  • Admin setup guide, roster-builder swap rules, and new staff-facing auto-approve article
  • IRIS chat answers auto-approve how-to questions via the help knowledge base
V3.3On the FloorJune 2026Platform

V3.3 On the Floor brings operational tooling to the bedside and the back office: the Duty Board for daily staffing visibility, a dedicated read-only AUDITOR role for compliance review, and a smarter Apply Master Roster workflow with bulk compliance override and transparent skip reporting.

📋Duty Board

  • New sidebar module — daily staffing view with check-ins, coverage summary, no-show alerts, and notices
  • Staff claim temporary proxy roles (e.g. ANUM, Incharge Doctor) for the shift; roster builders can add manual staff on the day
  • Huddle Mode (LCD) for wall displays — full-screen coverage view for the ward or department
  • Configurable homepage tabs: Staffing plus CMS-backed static pages (FAQ, phone directory, updates)
  • Two-tier enablement — platform availability, then org switch — so services opt in deliberately

🔎AUDITOR Role

  • Dedicated read-only role for compliance officers — no STAFF-without-employee workaround needed
  • Access to Reports (all export types) and the org-scoped Audit Log modal
  • Living Roster read-only view aligned to staff permissions — auditors who are also clinicians see their own shifts
  • No write access, no IRIS credit consumption, no admin configuration pages

📥Apply Master Roster Improvements

  • Compliance override at apply time — default-on toggle to create assignments despite overridable rule breaches; override reason stamped per shift for audit
  • Expanded apply results — every skip bucket exposed (leave, conflict, inactive period, no vacancy, rule violation, vacancy full, plus created-via-override count)
  • Corrected created counter and roughly 7× faster apply on large multi-stream runs
  • Chronological time-group headers in Roster Command Center for easier day-of review

📱Staff Self-Service

  • My Shifts **Live Calendar Sync** — one-click **Open in Google Calendar**, **Open in iCal**, and **Open in Outlook** (Outlook still needs a manual paste after the button opens Add Calendar)
  • **My Requests** overlay on My Shifts — yellow pins for your pending open-shift requests and open-swap offers; click to view details and withdraw without opening Shift Deck
  • Right-click a posted open swap (teal dashed border) → **Cancel Open Swap Post** from the calendar
  • Swap modal loads colleague shifts and open vacancies **one fortnight at a time** (Earlier / Your shift's fortnight / Later) for faster, safer hour balancing

🗂️Admin UX

  • Level 2 Vacancies — expand/collapse controls for streams and the cascade vacancy grid
  • Auditor-linked employees included in Level 5 roster staff data where applicable
  • Roster Health Resolve tab bulk-removes craft-group and scope mismatches so unsafe assignments can be restaffed cleanly
  • Roster Health Fortnight Hours adds Smart Unassign for above-maximum staff and Smart Assign for below-minimum staff
V3.2Self-SufficientJune 2026IRIS 3.0

V3.2 Self-Sufficient introduces IRIS 3.0 — the first release where IRIS narrates its work in real time, reports on what it accomplished, and tells you honestly why it could not fill the rest. Roster generation is roughly 15× faster, fairness is now a first-class scheduling axis, and the preview modal no longer fights the chat panel.

🗣️IRIS Speaks for Itself

  • Live thinking rotator narrates what IRIS is doing through every fortnight batch — no more silent waits
  • End-of-session summary in the chat: fill rate, distinct staff rostered, stretch shifts used, rule notes, and unfilled slots, in plain language
  • Free-text Generate ("roster the AM shift on Monday") gets the same live narration as the full Generate workflow
  • Fill the Gap modal now communicates progress per stream and explains what the engine is considering

🔍Honest Diagnostics

  • IRIS now aggregates rejection reasons across every candidate — "couldn't fill" becomes "couldn't fill because 78% of rejections were craft-group mismatches"
  • Pre-existing over-max staff-fortnights are surfaced separately from anything IRIS introduced — the master roster's history is no longer mistaken for IRIS's output
  • Per-fortnight leave-adjusted limits are used in the summary, so the metrics match what the engine actually applied at runtime
  • Under-minimum staff who received zero IRIS shifts are sampled with their blocked-by reason — a clear signal of qualifications gaps vs scoring losses

⚖️Fairness as a First-Class Axis

  • Tier-first sort: under-minimum staff who have not yet received a shift in the current batch are scored ahead of staff already at or over their minimum
  • Builds on V3.1 Fair Minimums by making the prioritisation structural rather than just a soft preference
  • IRIS-introduced shifts per staff are tracked within a batch, so the spread is intentional and inspectable
  • Stretch rule honoured per the V3.1 contract: one shift over the minimum when shift granularity makes the minimum otherwise unreachable

Fast Enough to Stay With

  • Full-organisation Generate is ~15× faster on the same dataset (large departments completed in roughly 2 minutes where they previously took ~30)
  • Deterministic fortnight batches bypass redundant LLM calls without sacrificing rule-aware behaviour
  • Single-flight concurrency guard: two simultaneous generations for the same organisation are no longer possible — a clear message replaces silent state pollution
  • Fortnight carry-in is correct: starting mid-fortnight now counts week-1 shifts already assigned (or published) against the fortnight's hour bucket

🛠️Correctness Floor Raised

  • AI rules now load and evaluate regardless of how their `ruleType` or `ruleLevel` is cased in the database — a long-standing silent fail
  • Compliance and Requirement rule types both classify correctly as hard rules
  • Rules are honoured during IRIS Generate and Fill the Gap with consistent behaviour across both surfaces
  • Crash on the final fortnight is fixed — generation completes cleanly even on long full-year runs

🪟UI That Coexists

  • Roster Preview, Apply Master Roster, and Fill Gaps modals now respect the IRIS chat panel and centre to the left of it — the end-of-session summary is finally readable while reviewing the preview
  • Behaviour is automatic: when the chat panel is closed or minimised, modals expand back to full-screen centring
  • Mobile and small-screen layouts are unchanged
V3.1Fair MinimumsJune 2026IRIS Iteration 2

V3.1 Fair Minimums hardens the IRIS roster engine around contractual minimum hours. Generate and Fill Gaps now strongly prioritise under-minimum staff, multi-stream generation works across all selected streams, and admin hours are fully separated from clinical calculations.

⚖️Minimum-Hours Fairness

  • Near-hard minimum hours — Generate and Fill Gaps strongly prioritise staff below contractual minimum
  • Single shared hours policy — consistent scoring in Generate and Fill Gaps
  • Maximum stays hard, with one bounded one-shift over-max tolerance when shift granularity makes the max unreachable
  • Roster Health shows tolerated over-max notes separately from genuine violations
  • Staff below minimum remain visible in a dedicated Below Minimum section

🌊Multi-Stream Generation

  • Generate with IRIS, Apply Master Roster, and Fill Gaps process all selected streams
  • Fortnight batching for large departments — progress shown during long runs
  • Consistent stream selection handling across IRIS workflows on the Living Roster

📊Admin Hours (Model A)

  • Administrative hours fully separated from clinical min/max calculations
  • Admin-heavy staff rostered to the correct clinical load
  • Clinical min/max reflect clinical work only — admin applied separately after publication

🔍AI Fidelity & Transparency

  • Accurate provider attribution — AI run logs record the model that actually ran
  • Soft rules that cannot be evaluated show save-time warnings instead of silently doing nothing
  • Removed dead generation toggles that implied configurability the engine never honoured
  • Availability and fairness always applied; maximum hours always hard
