Leave Notes and Documents

Leave requests now support notes and document attachments for a full audit trail.

Leave Notes

  • Auto-generated notes are created on status changes (request submitted, approved, rejected, cancelled, withdrawn)
  • Manual notes can be added by both staff and roster builders/admins
  • Internal notes — admins can mark notes as "internal only" so they are not visible to the staff member

Document Attachments

Upload supporting documents to a leave request:

  1. Open a leave request in Leave Planner
  2. Click the Documents section
  3. Upload files — supported formats: PDF, DOC, DOCX, JPG, PNG, WEBP
  4. Maximum 10MB per file, up to 5 files per request
  5. Documents are stored securely with encrypted cloud storage

Leave Withdrawal

If your leave has already been approved but your plans change:

  1. Go to Leave Planner and find the approved leave
  2. Click Withdraw
  3. Provide a reason for the withdrawal
  4. Your roster builder reviews the withdrawal request

Tip: Upload medical certificates or event documentation when submitting leave — it helps your roster builder make informed approval decisions.
