How to Use the IRIS Availability Audit Panel (Compliance, Conflicts, and Reminders)

IRIS Availability Audit Panel

The IRIS Availability Audit Panel is accessible from the Staff Availability page (Sidebar → Staff Availability). Open it by clicking the IRIS Audit button in the toolbar (purple, top-right of the grid).

The panel automatically runs against the date range and craft group you currently have selected in the grid.

What the panel checks

1. Availability Compliance Shows the percentage of staff who have submitted any availability for the selected period. Identifies specific staff members who have not set any availability, and how many dates they are missing.

2. Fair Distribution Checks whether staff availability is spread fairly across AM vs PM shifts and weekday vs weekend dates. Provides an overall fairness score (0–100) and flags any imbalances.

3. Coverage Summary Counts how many days in the period have full, partial, or no staff availability coverage.

4. Availability Conflicts (new) Detects staff who have an Unavailable block that overlaps in time with an Available or Preferred block on the same date. For example, if a staff member sets "Preferred 08:00–16:00" and also "Unavailable 12:00–20:00" on the same day, the 12:00–16:00 window is contradictory. These conflicts give the roster engine contradictory instructions and should be corrected.

Sending reminder emails

Both the Compliance section and the Conflicts section have Send Reminder buttons:

To remind a single staff member:

  • Find their name in the missing-staff list (Compliance) or the conflicts list (Conflicts)
  • Click the bell icon next to their name
  • An immediate email is sent and an in-app notification is created

To remind all affected staff at once:

  • Click Remind all at the top of the Compliance section (when multiple staff are missing availability)
  • Or click Remind all at the top of the Conflicts section (when multiple staff have conflicting blocks)

The email tells the staff member which issue was detected and links them directly to their My Availability page.

Once a reminder is sent, the button changes to a green "Sent" indicator so you can track who has been notified without duplicating.

Ask IRIS (chat within the panel)

You can type questions directly in the Ask IRIS chat at the bottom of the panel. Suggested questions include:

  • "Did all staff give their availability?"
  • "Who has not submitted availability?"
  • "Is the weekend distribution fair?"
  • "Are there any conflicting availability blocks?"

IRIS will answer using the audit data for the currently selected date range.

Refreshing the audit

Click Refresh Audit Data at the bottom of the panel to re-run all checks (useful after staff have updated their availability in response to a reminder).
