Fill Gaps as Unavailable and How to Undo It

Fill Gaps as Unavailable

What does "Fill gaps as unavailable" do? This button scans the visible calendar period and automatically fills every uncovered time window with an "Unavailable" record. It's useful when you want to clearly mark that any time you haven't explicitly set as Available or Preferred should be treated as Unavailable.

How to use it:

  1. Go to My Availability (Sidebar → My Availability)
  2. First, set your Available and Preferred blocks for the period
  3. Click Fill gaps as unavailable (found above the calendar)
  4. The system calculates all the gaps between your existing blocks and fills them with Unavailable entries

How to identify auto-filled records: Auto-filled Unavailable blocks appear on the calendar with a dashed border and muted colour, so you can easily distinguish them from availability blocks you set manually.

The Active Fill banner: When there are active auto-fill batches in your calendar, a highlighted Active Fill banner appears above the calendar. Each batch is listed with a one-click Undo button.

How to undo a fill:

  1. Look for the Active Fill banner above the calendar
  2. Each fill batch is shown with the date it was created
  3. Click Undo next to the batch you want to remove
  4. All the auto-filled Unavailable records from that batch are deleted immediately
  5. Your manually-set availability blocks are not affected

Tips:

  • If you already have an active fill and try to run "Fill gaps" again, a warning will appear asking you to confirm — this prevents accidentally stacking multiple fills on top of each other
  • Undoing a fill is permanent — if you need to re-fill, just click the button again
  • Manually edited or deleted auto-fill records are not restored by undo (only the records that still exist in the batch are removed)
