How to Approve an Open Shift Claim — Live Eligibility Card

Approving an Open Shift Claim

When a staff member claims an Open Shift you broadcast, the claim lands in your Approvals queue.

Where to find it

  • Shift Deck → tab Approvals, OR
  • Click the in-app notification when it lands.

Step-by-step

  1. Open the claim. The detail panel shows:
    • Claimer — name, Craft Group, scopes
    • Shift — Stream, pattern, date, time
    • Live Eligibility card — the key decision-support panel:
RN Patel claiming: ED Morning, Wed 14 May
Current fortnight: 32 h | Projected: 40 h | Min 30 / Max 80 ✅
No overlap | No rest violation | Holds Resus ✅
Conflicts: none
  1. Approve or Reject with reason.
  2. The shift is assigned (or the requester notified of the rejection).

What "Live Eligibility" checks for you

CheckWhat you're seeing
Hours bandCurrent period hours vs min/max
OverlapAny other shift on that day
RestTier-based rest from previous shift
ScopeAll required scopes held
AvailabilityTheir declared availability for that window
ConflictsCross-Stream conflicts (if any)

Bulk actions

For shifts with multiple claimants, use the Approvals tab bulk actions:

  • Approve & Decline Rest — picks one and auto-declines the rest (everyone is notified)
  • Approve Selected — for multi-slot vacancies, approve some and leave others pending
  • Decline Selected — bulk reject

Other staff whose requests are auto-declined receive an automatic notification explaining why.

Tips & common mistakes

  • Read the Eligibility card. It's the difference between a clean assignment and a fatigue-rule violation you'll override later.
  • "Approve & Decline Rest" is the fastest way to fill a single-slot vacancy — pick one person and everyone else is notified automatically.
  • Reject reasons go to staff. Keep them factual and respectful ("Already at max hours this fortnight" beats "no").
