How to Use Staffing Profiles (Vacancy Templates)
Staffing Profiles
Staffing Profiles let you save and reuse staffing configurations for Vacancy Planning (Level 2). Instead of manually re-entering staffing requirements for recurring scenarios, save a day's configuration as a named profile and apply it to future days instantly.
What is a profile?
A named template that captures all shift pattern requirements for a day — e.g., "Winter Surge" might specify EP ×3, RN ×6, EN ×2 for the Day Shift, different numbers for Evening and Night.
How to save a profile
- Go to Vacancy Planning (Sidebar → Vacancy Planning)
- Configure one day's staffing requirements as normal (click cells, set craft group counts)
- Click Save as Profile (or look for the save icon on the day header)
- Name the profile (e.g., "Winter Surge", "School Holiday", "High Volume 850pt")
- Add an optional description
- Save
How to apply a profile
- In Vacancy Planning, go to the Profiles tab
- Select the profile you want to apply
- Choose which dates to apply it to
- Click Apply — the staffing requirements for those dates are updated instantly
Key details
- Profiles are stream-scoped — each stream has its own set of profiles
- Applying a profile overwrites the staffing requirements for the shift patterns covered by the profile
- Shift patterns not covered by the profile are left untouched
- OR group configurations (e.g., "EP or Senior Registrar") are fully preserved in profiles
- After applying, use Bulk Copy to propagate across additional weeks

Tip: Build your seasonal staffing plan by saving profiles for each scenario, then applying them across the relevant weeks. What used to take 70+ cell edits becomes 1 profile application + bulk copy.
